How to Get Fathom Sales Call Notes into GoHighLevel

You can get Fathom sales call notes into GoHighLevel three ways: a GoHighLevel workflow using the Fathom trigger and actions, an automation tool like Zapier or a webhook that writes the summary to the contact, or a sales intelligence layer like RevPhlo that writes call notes back to the GoHighLevel contact and ties each call to the appointment, the closer and the payment. The first two move the summary text into the CRM. RevPhlo puts the notes on the contact and also turns the call into data you can report on, such as outcome, objections and cash collected.

I built RevPhlo after years of asking closers what happened on a call and getting two sentences in an end of day report. Here is how each option works and what it leaves out.

Option 1: GoHighLevel workflows with the Fathom integration

GoHighLevel lists a Fathom integration for workflows. A "New Recording" trigger can start a workflow when Fathom processes a call, and actions can fetch the transcript or the AI summary for later steps, like adding a note, creating a task or notifying the team.

Good for: teams that want the summary on the contact record with no extra tools.

Watch for: you still need to match the recording to the right contact, usually by email, and decide where the summary lives. A note on a contact does not tell you the call outcome as a field you can report on, and it is not tied to whether the prospect paid.

Option 2: Zapier, Make or a webhook

Fathom offers Zapier and Make integrations and a webhook that fires when meeting content is ready. A common build looks like this:

  1. Fathom finishes the summary and fires the trigger.
  2. The automation looks up the GoHighLevel contact by the attendee's email.
  3. It writes the summary as a note and turns action items into tasks.
  4. Optionally, it tags the contact or posts to Slack.

Good for: teams with someone comfortable building and maintaining automations.

Watch for: email mismatches between the booking and the call invite, prospects who are not in the CRM yet, and automations that break quietly when a field or plan changes. You also end up with notes in text form. Turning those into close rate, objection trends or revenue by closer is a separate project.

Option 3: RevPhlo

RevPhlo pulls directly from Fathom, GoHighLevel and Stripe or any other payment processor. It listens to every Fathom recording and auto-generates post-call notes with the outcome, objection type, prospect details and follow-up actions. Reps review and confirm them, which replaces the manual end of day report.

RevPhlo writes those call notes back to the GoHighLevel contact, so the record your team works from has the latest call on it.

Because RevPhlo connects to your GoHighLevel account, each call note is also tied to the appointment, the closer and the setter. When the payment comes in, it is matched to that call too. That lets you see:

  • Close rate as payments divided by calls taken
  • Revenue by closer, setter, source and funnel, with source mapping from GHL tags, fields and UTMs
  • The objections that come up on lost calls
  • A one-click link to the full recording for coaching

GoHighLevel stays your CRM for leads, pipelines and booking. RevPhlo adds the post-booking layer. We break down the split in RevPhlo vs GoHighLevel reporting.

What good call notes should capture

Whichever option you use, a sales call note is only useful if it captures the same fields every time:

  • Outcome: closed, follow up, not a fit, no-show
  • Objections: money, timing, spouse or partner, trust
  • Commitments: what the rep promised and what the prospect agreed to
  • Next step: who does what, and when
  • Link to the recording

A free text paragraph is hard to coach from. Structured fields let a manager filter for every call where a specific objection came up and listen to how the best closer handled it. Our post on AI post-call notes goes deeper.

Mistakes to avoid

  • Treating the summary as the source of truth for money. Use payment data for collected cash.
  • Skipping consent. Make sure your recording setup gets proper consent and follows the recording laws where you and your prospects are.
  • Letting no-shows disappear. A call that never happened should still show up as a no-show so follow-up happens.
  • Building it and never checking it. If the automation fails, notes stop arriving and nobody notices.

Frequently asked questions

Does Fathom integrate with GoHighLevel?

GoHighLevel lists a Fathom integration for workflows, with a New Recording trigger and actions to fetch transcripts and summaries. You can also connect the two through Zapier, Make or a Fathom webhook.

How do I match a Fathom call to the right GoHighLevel contact?

Most setups match on the attendee's email address. Watch for prospects who book with one email and join the call with another.

Does RevPhlo write call notes back to GoHighLevel?

Yes. RevPhlo writes call notes back to the GoHighLevel contact.

What does RevPhlo add on top of Fathom notes in GoHighLevel?

RevPhlo turns each Fathom call into structured post-call notes, writes them back to the GoHighLevel contact, and ties them to the appointment, the closer and the payment. That lets you report on close rate, objections and cash collected by rep and source.

Do I need to leave GoHighLevel to use RevPhlo?

No. GoHighLevel stays your CRM. RevPhlo connects to it and adds post-booking reporting.
