Close Rate Tracking Software for Sales Calls (and How to Track Show Rate and Close Rate)

Close rate tracking software connects your booked calls, the calls that actually happened and the payments that followed, so close rate is calculated from real data instead of a rep's end of day report. To track it correctly, close rate should be payments divided by calls taken, so no-shows stay out of it, and show rate should account for reschedules, cancellations and no-shows. RevPhlo does this automatically by pulling from GoHighLevel or HubSpot, Fathom, and Stripe or any other payment processor.

I spent years managing closers and reconciling Stripe against the CRM by hand. Most teams I saw had a close rate that was off, and nobody knew it. Here is how to fix that, with or without software.

How to track show rate and close rate

Show rate is the share of booked calls that actually happened in the same period. Decide in advance how reschedules, cancellations and no-shows count, and apply the same rule every week.

Close rate is calls that turned into a confirmed payment divided by calls that actually happened, for the same period.

Three rules keep both numbers honest:

  1. Take no-shows out of the close rate denominator. If 100 calls were booked, 20 did not show and 25 paid, the close rate is 25 out of 80, or about 31%. Counting the 20 no-shows makes it 25%, and the closer gets blamed for something outside their control.
  2. Count a close when money arrives. A deal dragged into "closed won" in the CRM only shows that a rep thinks it is done. Use the confirmed payment in Stripe or your payment processor as the close.
  3. Use rolling windows. Close rate swings at small sample sizes. Look at trailing 30, 60 and 90 days before you change comp, lead distribution or coaching.

We explain the math in more depth in why your close rate is probably wrong.

Why spreadsheets and CRM reports get close rate wrong

Most high-ticket teams track close rate one of two ways. Closers type numbers into an end of day form, or a manager pulls a CRM report. Both have the same gaps:

  • EOD numbers are typed from memory late at night, and they are often guessed.
  • CRM stage changes do not tell you if a payment went through, failed or refunded.
  • Bookings live in the CRM, the call lives in the recording tool and the cash lives in Stripe. Nobody has all three in one place.

The result is a close rate that leads to the wrong coaching, the wrong lead distribution and sometimes the wrong hire.

What close rate tracking software should do

When you compare tools, check for these:

  • Pulls calls from your call recorder so you know the call actually happened.
  • Pulls payments from your processor so a close means collected cash.
  • Matches payments to the right call even when the paying email differs from the booking email.
  • Breaks results down by closer, setter and lead source so you can see who converts and which traffic converts.
  • Shows show rate and close rate side by side so setter problems and closer problems are not mixed together.
  • Requires no manual entry from reps.
  • Works with your current stack instead of asking you to migrate your CRM.

How RevPhlo tracks show rate and close rate

RevPhlo is post-booking sales intelligence for high-ticket teams. It connects to the tools you already use, including GoHighLevel, HubSpot, Fathom, Zoom, Stripe and Slack, and turns them into one dashboard.

  • Calls and outcomes come from Fathom. RevPhlo listens to every Fathom recording and writes AI post-call notes with the outcome, objections and next steps. Reps review and confirm instead of typing EODs.
  • Payments come from Stripe or any other payment processor. Payments sync automatically, and when the paying email does not match the appointment email, you can search by name, email or date and match it to the right call.
  • Close rate is payments divided by calls taken, so no-shows are left out.
  • Show rate is blended. It accounts for reschedules, cancellations and no-shows.
  • One view of the funnel. The dashboard shows calls, shows, show rate, closes, close rate, cash collected, cash per show, qualified rate and sales cycle.
  • Breakdowns by closer, setter, source and funnel, with source mapping from GoHighLevel tags, fields and UTMs.
  • Every rep gets a portal with their own KPIs, a daily task queue, call recordings and leaderboard rank.

RevPhlo does not replace your CRM. If you run on GoHighLevel, see how the two fit together in RevPhlo vs GoHighLevel reporting.

Mistakes to avoid when you start tracking

  • Counting rescheduled calls as no-shows and as new bookings at the same time.
  • Comparing closers who get very different lead sources without splitting by source.
  • Making comp changes on one bad week.
  • Leaving setters out of the picture. Show rate is often a setter metric.

Frequently asked questions

How do you calculate close rate on sales calls?

Divide the number of calls that led to a confirmed payment by the number of calls that actually happened in the same period. Leave no-shows out of the denominator.

How do you calculate show rate?

Show rate is the share of booked calls that actually happened in the same period. Decide how reschedules, cancellations and no-shows count and keep the rule consistent. In RevPhlo, show rate is blended and accounts for reschedules, cancellations and no-shows.

Why does my CRM close rate look different from my Stripe numbers?

A CRM stage shows that a rep marked the deal closed. Failed charges, payment plans and refunds mean some of those deals never become the cash you see in Stripe or your other payment processor.

Does RevPhlo replace GoHighLevel or HubSpot?

No. RevPhlo connects to your CRM and adds the post-booking reporting layer on top of it.

Do my reps have to enter anything?

RevPhlo generates post-call notes from Fathom recordings. Reps review and confirm them instead of filling out end of day reports.
